Who we are

GIG Radiology Pty Ltd (ABN 80 112 282 292) runs diagnostic imaging clinics in Pakenham, Officer, Cranbourne North, Traralgon, Rosebud and Koo Wee Rup, Victoria. Our main office is at 23 John Street, Pakenham VIC 3810. In this statement, “we”, “us” and “our” mean GIG Radiology.

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and health information in line with the Health Records Act 2001 (Vic).

What this statement covers

This statement explains how we collect and handle personal information through this website and its online forms. When you visit one of our clinics, your health records are protected by the same laws. Our team can tell you more about how we manage them.

What we collect through our forms

We only collect what you choose to give us in a form. Depending on the form, that may include:

  • Booking requests: your name, date of birth, phone and email, preferred clinic, the scan you need, the days and times that suit, a photo or PDF of your referral, and any notes or access needs you add.
  • Contact enquiries: your name, email, phone (optional) and your message.
  • Feedback: the type of feedback, the clinic and date of your visit, any ratings and comments and, only if you'd like a reply, your name and contact details. You can give feedback anonymously.
  • Practitioner forms (referral pads, e-referral and EDI setup, IT support): practice and practitioner details such as names, provider numbers, addresses, contact details and, for IT support, any screenshot you attach.
  • Careers and student placements: your contact details, qualifications, registration and work rights, experience and availability, and any CV or documents you attach.

Some of this, such as your referral or clinical notes, is health information. We collect it with your consent, only to arrange your imaging. Please don't send more health information than we need; for example, keep the contact form to the question you have.

Information collected automatically

  • Drafts on your device. While you fill in a form, your browser keeps a temporary copy of the text you've typed (never attachments) so it isn't lost if the page reloads. It stays on your device and is cleared when you send the form or close the browser tab.
  • Technical logs. Like most websites, our website host automatically records technical information such as your IP address, browser type and the pages you request. We use it to keep the site secure and working, for example to limit repeated form submissions.
  • Cookies and visit counts. This website doesn't use advertising or tracking cookies. To see how the site is used and improve it, we count visits anonymously: the pages viewed, the website or search that sent you here, your type of device (phone, tablet or computer), your approximate area (worked out from your internet address, which we don't keep) and actions such as sending a form or tapping a phone number. A random visit code is kept in your browser tab and cleared when you close it. These counts never include anything you type into our forms, and they can't be used to identify you.

Why we collect it

We use your information to:

  • reply to your enquiry
  • arrange and confirm your appointment, and receive your referral
  • look into and respond to feedback and complaints, and improve our services
  • support referring practitioners with referral pads, electronic reports, viewer access and IT help
  • consider job and student placement applications
  • keep this website secure.

We won't use it for an unrelated purpose, such as marketing, without your consent.

Who receives it

  • Our team. Form submissions are sent by email to the relevant GIG Radiology team (the clinic you choose, or our helpdesk) and are seen only by staff who need them to help you.
  • Our service providers. We use trusted providers to host this website, deliver form emails and store the anonymous visit counts. They handle your information only to provide those services to us. Some of them may store or process information outside Australia.
  • Anyone else only if you agree, if it's directly related to your care (for example, sending results to your referring doctor), or if the law requires or allows it.

We don't sell personal information.

Keeping it safe

This website uses an encrypted (HTTPS) connection, and form attachments are limited by size and type. We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, change or disclosure. No way of sending information over the internet is completely secure. If you'd prefer, call or visit one of our clinics instead.

How long we keep it

We keep personal information only for as long as we need it for the purpose we collected it, or for as long as the law requires. Health information must be kept for minimum periods. When we no longer need it, we take reasonable steps to securely destroy it or de-identify it.

Your choices

You can browse this website without telling us who you are, and you can give feedback anonymously. To book an appointment or get a reply, we'll need your name and a way to contact you. If you'd rather not use an online form, you can call or visit a clinic.

Seeing or correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it. Email helpdesk@gigradiology.com.au or write to us at 23 John Street, Pakenham VIC 3810. We'll need to confirm who you are, and we'll respond within a reasonable time. If we can't give you access or make a change, we'll explain why.
